Through strategic partnerships and collaborations with local, regional, international development, higher education, and donor organizations; WLI executes its mission by providing a range of service offerings and a series of masterclasses, courses, conferences, workshops, colloquiums, symposia, seminars, and webinars that cover various leadership topics.

POSITION SUMMARY:

Women Leadership Institute (WLI) seeks a dependable, organized, and results-oriented Program Manager to oversee the coordination and administration of the Institute’s new and ongoing programming. The primary responsibilities of the Program Manager include program management, social media marketing, brand management and communication, business development, and administrative support. Reporting to the Program Director, the Program Manager will provide technical, research, business development, and administrative support to ensure the successful implementation of WLI’s strategic initiatives in support of its mission. The ideal candidate is creative, enjoys working within an entrepreneurial environment that is mission-driven, results-oriented, and community-focused. The Program Manager is expected to work independently on special projects as assigned by the Program Director or Executive Chair, from conception to completion; and must be able to handle multiple priorities, changing demands, and confidential matters effectively, and with discretion. This role requires the ability to complete deliverables in a fast-paced environment, prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. The Program Manager has strong verbal and written communication skills, is self-motivated and self-directed, and has a high customer service orientation.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

Program Management

• Under the guidance of the Program Director and working closely with the Executive Director, assist with managing the overall success of WLI’s programs, providing adequate planning and communication to participants, resource persons, sponsors, partners, and all stakeholders.
• Ensure that program activities operate within the policies and procedures of the organization and comply with all relevant legislative and professional standards.
• Create forms and records to facilitate the documentation of key program activities.
• Maintain the collection and maintenance of records on program participants for impact evaluation purposes.
• Engage volunteers, as needed, for appropriate program activities using established volunteer management practices.
• Liaise with other WLI team members and resources to ensure effective and efficient program delivery.
• Explore opportunities for cross-coordination across different programs and service offerings to increase effectiveness and efficiency and maximize WLI’s value proposition in the community.

Administrative and Logistics Support

• Serve as main point of contact for all incoming calls and emails to ensure prompt communication with WLI partners, course registrants, program participants, members, and other stakeholders.

• Manage calendars, scheduling, and communications for better planning of WLI programs throughout the year.

• Work closely with the WLI team, faculty, resource persons, and vendors to plan and coordinate the logistics of WLI’s programs, including master classes and conferences.

• Provide proactive administrative support to ensure that program activities and experiences are top quality and that the course or conference registration process runs smoothly for participants.

• As assigned, assist with the development and curation of content and delivery by producing PowerPoint presentations that are professional and visually appealing.

• Generate reports on program goals, outcomes, and lessons learned. Review, edit and summarize reports and documents as needed.

• Maintain up-to-date documentation of trainings, organizational data, contact information, office forms and templates for internal use.

• Track and manage the budget for WLI programs.

Marketing, Communications, and Business Development

• Assist with sales, marketing, and fundraising efforts; participate in brainstorming sessions to identify revenue-generating program opportunities and service offerings for WLI.

• Research market and industry trends to identify new service offerings that would appeal to new and existing clients and members.

• Implement advertising and promotional activities that will generate interest and participation in WLI’s programs and increase its membership database.

• Develop ways to improve customer experience, build brand loyalty, enhance, and retain member database.

• Maintain consistent communication with WLI students, clients, members, faculty, and partners, providing up-to-date information about the program, including registration details, program cost, course summary, and learning objectives, as available. Provide post-program communication, including surveys, as part of our ongoing quality improvement process.

• Implement communication program to enhance engagement with clients and other stakeholders, gain community support for WLI programs, activities, and initiatives, and to solicit input for ongoing quality control and improvement.

MINIMUM QUALIFICATIONS AND EXPERIENCE:

• A Bachelors’ degree and three to five years’ experience working with International Development Agencies or not-for-profit / NGO.

• Technology proficiency, with proven ability to use Microsoft Office products, such as: Word, Outlook, PowerPoint, and Excel; Familiarity with Social Media Marketing tools

• Demonstrated project management experience

• Extremely detail-oriented, organized, and willing to take initiative

• Excellent communication, writing and grammar skills

• Experience working closely with a variety of external stakeholders and building partnerships with industry, government, community, and academic institutions

• Demonstrated success in independent thinking, problem-solving, and process improvement

• High level of professionalism, self-awareness, and cultural competence

• Excellent customer service orientation and strong interpersonal skills

• Ability to handle confidential information with discretion and work with a high degree of integrity

• Deadline-oriented with excellent follow up skills and the ability to manage multiple projects effectively

• Strong work ethic and the ability to work independently as well as be a productive team member
